Introduction

These Terms explain how we work with our clients to deliver high-quality virtual tours, 3D scanning, and 360 photography in a clear and transparent way.
They set out what you can expect from us, what we ask from you, and how we make sure every project runs smoothly.

Agreement

This Agreement is between 360 View (“Service Provider”) and the Client who commissions any service from 360 View, including Google Virtual Tours, Matterport Digital Twins, 360 Photography, or other immersive digital media.
By using our services or accepting a quotation, the Client agrees to these Terms and Conditions. Any updates will be published on our website. Continued use of our services after updates means acceptance of the revised terms.
These Terms are governed by the laws of England and Wales, and for EU projects, by applicable EU consumer and commercial law.

Deposits and Payments

A deposit may be required before work begins. The amount depends on the project’s size and complexity.
Deposits are non-refundable once preparation or travel has begun, as they secure the booking and cover planning and scheduling costs.
Final payment is due upon completion and before delivery of the final files or publication.
Payments can be made by bank transfer, debit card, or credit card. Late payments may delay delivery or result in service suspension.
Where a refund is due, it will be processed within 7 working days.

Cancellation and Rescheduling

A minimum of 24 hours’ notice is required to cancel or reschedule a confirmed appointment.
Cancellations made less than 24 hours before the appointment may incur a fee starting from £192 + VAT, depending on project size, travel distance, or accommodation already booked.
If a deposit has been paid, it may be retained in full to cover these costs.
For larger or multi-day projects where 360 View has already incurred non-recoverable expenses, the cancellation fee may increase to reflect those costs.
Cancellations made more than 24 hours in advance can usually be rescheduled at no extra cost.
If 360 View must reschedule due to unforeseen circumstances such as severe weather, illness, or equipment failure, the Client will be offered the next available date or a full refund of any deposit paid.

Delivery and Hosting

Smaller projects are typically delivered within 2 to 5 working days after the shoot. Larger or multi-location projects may take longer depending on scale and complexity.
Clients will receive their deliverables via secure download links, embed codes for websites, or Google Drive links for images and videos.
Clients are notified by email once their project is complete.
Matterport tours are hosted on 360 View’s Matterport account unless otherwise agreed. Clients with their own Matterport account can request transfer of the 3D model after full payment.
Google Virtual Tours are published to Google Maps and linked to the Client’s verified business listing.
Custom or non-Google tours can be hosted under 360 View’s platform with annual renewal options. Matterport and other hosted tours renew annually unless cancelled in writing before the renewal date.
Transfer or administrative fees may apply for hosting changes.

Weather Conditions

360 View will proceed with the scheduled appointment under most weather conditions.
If the project involves outdoor areas:

  • In cloudy or light-rain conditions, the photoshoot will continue as planned.

  • In heavy rain or unsafe weather, the project will be rescheduled to a new date at no extra charge.
    This ensures safety and consistent image quality across all deliverables.

Preparation and Access

The Client is responsible for ensuring that the location is ready and accessible at the agreed time.
Please ensure the area is clean, tidy, and free from obstacles. Lights, displays, and equipment should be operational.
If the site is not ready when the team arrives, waiting time may be charged at £192 + VAT per hour or part thereof.

Onsite Services and Delays

For onsite work such as Matterport scanning, 360 photography, or Google Street View capture:

  • The Client must ensure all areas are accessible and available during the booking.

  • Extra time caused by restricted access, late arrival, or extended coverage will be charged at the standard hourly rate.

  • If a return visit is required because of access or readiness issues, a return-visit fee will apply.
    360 View reserves the right to charge for time lost due to Client delays or incomplete site readiness.

Delivery Quality

All tours and images are captured with professional equipment and processed to meet high-quality standards.
360 View ensures that all media is compatible with the intended delivery platforms, including Google Maps, Matterport, and web embedding.

Online Delivery and Data Storage

Media files are delivered through secure download links or cloud storage such as Google Drive.
Files remain available for 30 days after delivery. After this period, backup retrieval may be charged.
Clients are encouraged to download and safely store their files upon receipt.

Risk Assessment and Safety

The Client must ensure that the property or location is safe and that all risks are identified before the shoot.
For industrial, construction, or public projects, a risk assessment may be required.
360 View staff follow site-safety policies and wear appropriate protective equipment when needed.

Client Presence and Representation

A Client representative should be present at the start of the appointment to confirm readiness and provide access.
If the Client or representative is not available, 360 View will proceed according to the agreed project brief.
Any corrections or additional visits requested later will be chargeable.

Additional Fees

Extra charges may apply for waiting time, reshoots, weekend or after-hours appointments, extended hosting, or custom editing and branding.
All additional costs will be clearly quoted and agreed before work continues.

Copyright and Usage

360 View retains ownership of all images and virtual-tour files until full payment is received.
After payment, Clients may freely use the delivered material for business marketing, online visibility, and collaboration, including publishing on Google Maps, websites, or social media.
360 View may include completed projects in its professional portfolio unless the Client requests privacy in writing.

Indemnity and Liability

The Client agrees to hold 360 View harmless against any claims, losses, or expenses arising from:

  • The use or publication of delivered media

  • Site-access issues or safety hazards beyond 360 View’s control

  • Delays caused by access restrictions, safety, or environmental conditions
    360 View’s total liability shall not exceed the total amount paid for the specific project.
    360 View is not liable for delays or failure to deliver caused by events beyond reasonable control, such as extreme weather, transport disruption, or internet outages.

Data Protection and Privacy

360 View manages all personal data according to UK GDPR and EU GDPR.
Client data is used only for service delivery and may be shared with third parties such as Google or Matterport for publishing purposes.
Clients can request correction or deletion of their data at any time.
